Help - events
The event system is a place to store calendar events, either as public events seen by all members, or private events seen only by you.
To create an event in the system, select 'Submit a new event' on the events page. You will be shown a page where you may supply all of the relevant information. The important fields are Title, Start, End, and Details. Please try to keep the title short but descriptive - it is used as a link to the event. Provide all of the relevant and important information under 'Details'. Enter a start date (and time), and if applicable an end date (and time).
Some additional options:
- Selecting 'Birthday/Anniversary' will automatically repeat the event every year at the same day and time for five years.
- 'Allow to be seen by others' if checked will make this event public and visible to others. The default is private (only you can see it).

'Adjust for other time zones' will automatically provide the correct date and time for viewers in different places. Which setting to use depends on a) the type of event and b) if it is being shared with people in other timezones. Leave it blank for birthdays, holidays, and private events. Check it for events that start at a specific time and are shared with other members that might be located in other timezones. Here are a couple of examples of how to use this setting.
- I am scheduling a webcast event that starts at 3PM, Los Angeles time. I check the box to adjust the time. This way a member in Vail, Colorado will see it listed as 4PM, and a member in Europe will see that it begins at midnight. By checking the box, everybody will see the event converted to their own timezone.
- Let's say I live in Albany, New York. I want to schedule a birthday reminder for May 14th, all day. This time I leave the box unchecked. If I were to adjust for other time zones, somebody living in Portland, Oregon will think the birthday begins at 9PM on the 13th instead of 12AM on the 14th. By leaving the box unchecked, the event time will always stay the same no matter what timezone it is being viewed from.
- 'Only use start date' indicates that the End date/time is not relevant. Many birthdays, etc. are just indicated by a start date.
When an event is submitted into the system, the owner is provided with an automatic email reminder five days in advance if the member profile allows email notifications. This reminder is not provided if the event is less than five days away. You are allowed to set additional reminders at any time from the event viewing page if this is not adequate.
The main event listing page allows you to select an event by date and view the detail. At the bottom of the event detailed view is an 'Actions' menu which provides the email reminder signups, and an option to edit the event if you are the owner. To delete an event, select it for editing, and use the Delete button at the bottom of the editing page.
Note: Changing the date of an event will not change any reminders which are watching that event. The date of an event reminder is set when the reminder is created. If the event is deleted, reminders for that event are cancelled.
